ClearToDrive is run by Lustrio Ltd (company number 17537329), 83 Southgate Way, Dudley, England, DY1 3HN. This policy explains what personal data ClearToDrive handles, why, and what rights you have. If you have a question, email hello@cleartodrive.co.uk.
Who is responsible for your data
- If you are a driver, your employer decides what is collected about you and why. Your employer is the data controller and Lustrio Ltd processes your data on its behalf, under a written contract. For questions about why your employer checks your driving documents, or to exercise your rights, contact your employer first. We will help them respond.
- If you use ClearToDrive for your business (you sign in to the dashboard), Lustrio Ltd is the controller for your account details.
What we collect about drivers
| Data | Where it comes from |
|---|---|
| Name and email address | Your employer, when they invite you |
| Vehicle registration | You |
| Vehicle make, MOT expiry, tax status and tax due date | The DVLA, looked up using your registration |
| DVLA licence check code and the last 8 characters of your licence number | You. These are deleted once your employer has used them to view your licence record. |
| The licence check result: whether your licence is valid for the vehicle, penalty points and photocard expiry | Your employer, after viewing your record on GOV.UK |
| Insurance certificate, its expiry date, and whether it covers business use | You |
| Your declaration, with the date, time and IP address you submitted it from | You |
| A record of reminders we have sent you | Our systems |
We use this only to show your employer whether you are cleared to drive your own vehicle for work, and to remind you before your MOT, tax, insurance or licence check is due. The legal basis is your employer's legitimate interest in, and legal duty of, making sure staff who drive for work do so safely and lawfully. We do not use driver data for marketing and we never sell it.
What we collect about business users
Your email address, your company name, when you signed in, and the actions you take in the dashboard (kept as an audit log for your company). We use these to provide the service under our contract with your business, to keep it secure, and to contact you about your account. When billing starts, our payment provider will process your billing details; we will not see or store full card numbers.
Who we share data with
We use these suppliers to run ClearToDrive. Each is bound by a contract to protect the data.
| Supplier | What they do | Where |
|---|---|---|
| Supabase | Database, file storage and sign-in | London, UK |
| Vercel | Website hosting | London, UK, with a global network for delivering pages |
| Resend | Sending emails | Ireland, EU |
| DVLA | Vehicle tax and MOT lookups (registration number only) | UK |
Some of these suppliers are US companies. Where data could be accessed from outside the UK, it is protected by the UK International Data Transfer Agreement or the UK-US data bridge.
How long we keep it
- Licence check codes: deleted as soon as your employer has reviewed them.
- Driver records and documents: kept while your employer uses ClearToDrive and you are on their list, and deleted within 30 days after your employer removes you or closes their account, unless your employer asks us to export them first.
- Business account details: kept while the account is open and deleted within 30 days of closure, except billing records, which we keep for 6 years as UK tax law requires.
Keeping it secure
Data is encrypted in transit and at rest. Each business can only see its own drivers. Driver links are personal, expire after 14 days, and we store only a scrambled (hashed) version of them. Insurance certificates are kept in private storage and shown to your employer through links that expire after five minutes.
Your rights
You can ask to see the data held about you, have it corrected or deleted, restrict or object to how it is used, or receive a copy to take elsewhere. Drivers should ask their employer, or email us and we will pass the request on. If you are unhappy with how your data is handled, you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
We only use cookies that are needed to keep business users signed in. We do not use advertising or tracking cookies.
Changes
If we change this policy we will update the date at the top, and tell business users by email about any important change.
